Joining an Organization

This guide explains the different ways to join an organization in Reformat and what to expect when you receive an invitation.


Ways to Join an Organization

There are two ways to join an organization:

Method 1: Email Invitation

Receiving an Invitation

When an admin invites you, you’ll receive an email containing:

  • The organization’s name

  • Who invited you

  • Your assigned role

  • A secure link to accept

Accepting via Email Link

  1. Click the link in the invitation email

  2. Sign in to Reformat

  • Use the same email address the invitation was sent to

  • If you don’t have an account, create one with that email

  1. Review the details:
  • Organization name

  • Your role (Admin or Member)

  • Who invited you

  1. Click “Accept Invitation & Join Team”

  2. Welcome! You’re now part of the organization

Accepting via Dashboard

If you’re already signed in, pending invitations appear on your Team Members page:

  1. Go to Team Members

  2. Look for the Pending Invitations card at the top

  3. You’ll see:

  • Organization name

  • Who invited you

  • Your assigned role

  • Expiration date

  1. Click Accept to join, or Decline to reject

Method 2: Domain Request

If an organization has enabled domain auto-join for your email domain:

How It Works

  1. Sign up or sign in with your company email (e.g., you@company.com)

  2. If company.com is configured for auto-join, they will automatically receive your request to join the organization

  3. An admin reviews and approves your request

  4. Once approved, you will receive email and can join the organization

What to Expect

  • Approval may take time depending on admin availability

  • You’ll be notified when your request is processed

  • The admin chooses your initial role


After Joining

Once you’ve joined an organization:

What You Gain Access To

  • Shared Credits - Use the organization’s credit pool

  • Custom Templates - Access templates created by your team

  • Team Collaboration - Work alongside other members

What You’ll See

  • Team Members page shows your colleagues

  • Your Plan page shows shared subscription and credits

  • Templates includes organization-specific options


Declining an Invitation

If you don’t want to join:

  1. Go to Team Members

  2. Find the invitation in Pending Invitations

  3. Click Decline

The admin will see that the invitation was declined and can send a new one if needed.


For Admins: Tracking Invitation Status

Admins can see invitation status in the team members list:

  • Pending - Waiting for response

  • Accepted - User joined the team

  • Other status - User may be in another organization


Frequently Asked Questions

Q: I can’t find my invitation email

  • Check your spam/junk folder

  • Search for “Reformat” in your email

  • Ask the admin to resend the invitation

Q: The invitation says it’s invalid

Possible causes:

  • Invitation has expired

  • Invitation was already used

  • Invitation was cancelled by the admin

Solution: Contact the admin who sent it for a new invitation.

Q:I need to sign in with a different email

Invitations are tied to specific email addresses. You must:

  1. Sign in with the exact email the invitation was sent to

  2. Or ask for a new invitation to your preferred email

Q:I’m already in an organization

When you accept an invitation to a new organization, you’ll join that organization and leave your previous one.

Q:I don’t see pending invitations

The pending invitations section only appears if you have pending invites. If you expected one:

  • Check if you’re signed in with the correct email

  • Ask the admin to verify they sent it to the right address
